Payment Methods
We accept all major credit cards, cash, check, and health savings debit cards. A credit card on file is required to hold your appointment, along with a signed authorization form permitting Hartwell Counseling to charge the card for late cancellations or rescheduled appointments that fall outside the required 24-hour notice window.
Insurance
Hartwell Counseling does not accept insurance at this time. However, clients are welcome to seek third-party reimbursement directly from their insurance provider. Your therapist will provide whatever assistance is possible in helping you access the benefits you are entitled to — though full payment of service fees remains the client's responsibility.
We encourage you to contact your insurance provider in advance to understand exactly what mental health services your policy covers. Upon request, your therapist can provide a bill for you to submit directly to your insurer. Please note that Hartwell Counseling cannot guarantee reimbursement.
Please be aware that submitting a claim to your insurance company will require the assignment of a clinical diagnosis and may, in some cases, require the release of additional information about your treatment, which will then become part of your insurance records.
Cancellation Policy
Please provide at least 24 hours' notice to cancel or reschedule your appointment. A credit card on file is required, and late cancellations or no-shows without sufficient notice may be charged the full session rate to the card on file.
Good Faith Estimate
As required by the No Surprises Act, you have the right to receive a Good Faith Estimate of expected costs before your first session. This will be provided upon scheduling or upon request.
